Club Rules

1.         NAME AND ADDRESS
The name and address of the Club is Wickwoods Health Club and Spa, Shaveswood Lane, Albourne, West Sussex.  BN6 9DY.

2.         OBJECTIVES
To provide and maintain facilities for both sporting and recreational activities to a balanced subscribed membership: to supply members with food and refreshments including beer, wine and spirits at reasonable prices fixed by the Proprietor / Company from time to time.

3.         THE CONSTITUTION
The Proprietor / Company will maintain the Club facilities and everything reasonably necessary to enable membership in accordance with these rules, including the engaging and payment of staff for matters associated with the smooth running of the facilities.

4.         MEMBERSHIP
Limited categories of membership shall be made available, which the Proprietor / Company may change from time to time.
SINGLE OFF PEAK MEMBERSHIP.  This is available for those members over the age of 18 years and allows the use of the leisure facilities during a restricted period, which the Proprietor / Company may change from time to time.  Off Peak members may use the restaurant at any time subject to prior booking, they may also pre-book for club functions but cannot utilise the Club’s sporting or leisure facilities or exercise classes outside of the restrictive period.
SINGLE MEMBERSHIP.  This is available for individuals over the age of 18 years.  It allows full use of the Club and its facilities during all operating hours.
JOINT OFF PEAK.  This is available for couples over the age of 18 years who are married or share a common law relationship and reside at the same address and allows the use of the leisure facilities during a restricted period which the Proprietor / Company may change from time to time.  Off peak members may use the restaurant at any time subject to prior booking, they can also pre-book for club functions although cannot utilise the Club’s sporting or leisure facilities or exercise classes outside of the restrictive period.
JOINT MEMBERSHIIP.  This is available for couples over the age of 18 years who are married or share a common law relationship and reside at the same address.  It allows full use of the Club and its facilities during all operating hours.
FAMILY MEMBERSHIP.  This is available for couples over the age of 18 years with 2 children or more up to the age of 16, who are married or share a common law relationship and reside at the same address. Additional children including babies may be assigned at an additional cost.  The maximum family membership available is for 5 persons including children under three.  On a child’s 16th birthday or children who are 16 years or over on joining will need to take up an adult membership to continue / start membership.

COMPANY MEMBERSHIP.  This is available (subject to availability) for bona-fide companies and its employees and allows full use of the Club and its facilities during all operating hours.

JUNIOR MEMBERSHIP.  This is available for juniors between their third and sixteenth birthday.  Member’s children who reach the age of 16 years must become adult members if they wish to continue to use the Club.  They may use the Club at any time with the exception of the bar area in licensing hours (if under the age of 16) and the Spa, steam room, sauna and gymnasium if under 16 years.  Junior members are not allowed to buy alcoholic beverages at any time.  No one under the age of 16 is admitted to the Club unless accompanied and supervised by an adult member.
NANNY/CARER.  Available as part of any full membership.  Entitles the Nanny/Carer to enter the Club and use the facilities only whilst accompanying the dependant they are assisting.

5.         APPLICATION FOR MEMBERSHIP
Every candidate for membership shall complete and lodge with the Club an appropriate application form signed by the applicant together with at least the joining and first month’s fee.  The Proprietor / Company reserve the right to accept or reject any application for membership at his discretion.
All memberships are subject to Photo I.D.

6.         HONORARY AND TEMPORARY Memberships
The Proprietor / Company shall have the power to elect Honorary and Temporary membership on such terms and conditions as he shall think fit.

7.         ELECTION OF MEMBERS
All applications for membership shall be considered by the Proprietor / Company who shall have the power to reject any application for membership without assigning reason or giving explanation.

8.         SUBSCRIPTION AND FEES
The members shall pay to the Proprietor / Company an annual or monthly subscription, which shall be determined by the Proprietor / Company, (See current applicable Membership Form).  Subscriptions shall become payable yearly or monthly in advance from date of election for the ensuing twelve months.  The Proprietor / Company shall have the authority to vary all subscription and joining fees.  Members who have not paid their subscriptions by the due date for renewal in each year shall cease to be members, although shall be eligible for re-election subject to the classification of membership being available at that time.  When booking facilities the member must quote his name and contact telephone number.  Where applicable the member is responsible for payment of additional facility fees.  Facilities may only be used in the name of the person who made the booking.  Bookings are not transferable.  Credit for cancelled bookings will be given only at the discretion of the management, although in any event there will be no credit if the facility is not re-let.

9.         CESSATION OF MEMBERSHIP & REFUNDS
Membership of the Club shall cease:

  1. Cancellation is subject to 3 months notice in writing addressed to the Club resigning membership to the Club.
  2. By failure to pay the annual subscription on or by the due date.
  3. When the Proprietor / Company in its absolute discretion and without assigning reason or explanation may terminate or suspend the membership of any member.
  4. When a Temporary members term has expired.
  5. There is no refund on un-expired membership fees accept at the absolute discretion of the Proprietor / Company and in any event shall be limited to a minimum of six months charge and subject to an administration charge of £50.00.    

10.       RIGHTS OF MEMBERS
A duly elected member of any classification shall be entitled to benefits as limited by their category and shall be bound by the Rules of the Club for the time being in force although shall acquire no proprietary rights in the Club premises or in any of the property therein.

11.       LIABILITY OF MEMBERS
The facility of members shall be limited to the amount of their subscription.
Members and member’s guests frequenting the Club using the facilities available, do so entirely at their own risk.  The Proprietor / Company will not accept any responsibility for direct personal injury or consequential loss.

12.       MEMBERS – SPECIAL PROVISIONS

  1. No Club member or guest shall bring intoxicating liquor, soft drinks or food onto the Club premises.
  1. All members must produce their current membership card at Reception and prior to entering the Club.
  2. All members’ guests must be signed in and the current guest fee, which may vary from time to time, paid except when a booking for dining has been made.
  3. All members must advise the Club Manager of any change of address.
  4. Any member losing their membership card shall be required to purchase a duplicate card at a cost of £3.00
  5. Membership cards are not transferable and any member who allows his card to be used by any other person or member shall be liable to expulsion.
  6. No persons under 18 years of age may consume intoxicating liquor whilst on the club premises.
  7. All tennis playing members and their guests must wear non-marking shoes, acceptable tennis clothing in accordance with the Lawn Tennis Association’s regulations.  Any members not complying with this rule may be asked to leave the courts immediately.
  8. Club members along with their children and guests will, at all times, behave in an orderly and mature manner and failing to do so may result in expulsion from the Club.
  9. It is the responsibility of members to keep their children under proper control at all times.  Failure to do this will result in the member being expelled from the Club.
  10. Parents and guardians of children under 14 years of age must supervise them at all times whilst in the Club.
  11. Children (14 years and under) swimming times must be strictly adhered too.  These are subject to variation and can be found posted around the Club.
  12. Please be aware that only approved swimming aids may be used in the pool.
  13. No tubes, flippers, masks, snorkels, footballs, bikes, skateboards, kites or any other article deemed by the staff as unsuitable shall be allowed into the club or allowed for use in the pool.
  14. The Club premises or any part thereof may on any day of the year, at the discretion of the Proprietor / Company, be used for functions which members shall not be entitled to attend except with the Proprietors/ Companies consent.
  15. The Proprietor / Company reserve the right to preclude any persons from the premises without assigning reason or giving explanation.
  16. Suitable attire is required through the club in particular no vest for men other than in the gym, all members shall remain fully clothed other in the pool and wet facilities and in this case ladies are not allowed to go topless and all members will wear a swimming costume at all times on their lower body.
  17. All members will abide by the Club Complaints Procedure, which is available on request.

13.       FACILITIES
At the absolute discretion of the Proprietor / Company any or all of the facilities may be temporarily or permanently closed for maintenance or any other reason without prior notice in the interests of health and safety.

14.       GUESTS
The introduction of guests shall be subjected to the following provisions:
Production of a guest passes or purchase of a day pass.   A schedule rate with regard to these passes is available from reception.  It is the member’s responsibility to ensure guest fees are paid.
All guests are to be signed in at reception when utilising the facilities and pay any guest fees due.
Guest fees do not apply when purely dining, although reservations are required for parties which include more than three guests.
Individual guest visits are restricted to five times in any one 12-month period when using the facilities.
Members are responsible for the good conduct of their guests and must ensure their guests abide by the Clubs rules to ensure that the peace and enjoyment of all members is preserved.
Other than when dining only, guests are limited to a maximum of three at any one time of which no more than 2 may be under 14 (including babies).
All children under 14 years (members or guests) must vacate the Club by 20.30 Mon- Thur & 21.00 Fri – Sun.
No member will bring a guest to the Club who has been refused membership or ejected from the Club.
Guest Passes are issued to existing members once a year in March and to new member upon joining.  Regardless of membership category only one guest pass will be issued per membership.
All guests must abide by the Club rules.
The club reserves the right to restrict guests during peak periods without notice.

15.       PERSONS UNDER 16 YEARS AND 14 YEARS RESPECTIVELY
The Proprietor / Company reserve the right to preclude any persons from the premises without assigning reason or giving explanation.
Persons under 16 years are not permitted within the spa, steam, sauna, and gym or bar areas.
A parent or guardian’s membership covers persons up to the age of 14 years who are listed on a family membership.
From the date of their 16th birthday children must become Adult  MEMBERS if they wish to continue to use the Club.  (There is no joining fee where the parent or guardian is already a Member of the Club)
In order to maintain a period of comparative peace at the Club children under the age of 14 may attend the Club until 8.30 pm Monday – Thursday and
9.00 pm Friday – Sunday only, by which time they must vacate the Club premises.
Swimming times, which may vary from time to time, apply to children 14 years and under and it is the parent / guardians responsibility to be aware of notices in this respect.
Children over 5 years may only change in the same gender or family changing areas.  

16.       DRESS CODE
When frequenting the Club, members are respectfully asked to maintain a respectable level of dress, in particular:

  1. Wear suitable footwear at all times other than when physically going to, using and leaving the pool and spa complex.
  2. Wear a shirt, trousers, shorts, dress, wrap skirt, tee shirt, blouse, dress or similar at all times other than when physically going to, using and leaving the pool, spa complex and gymnasium.
  3. Vests for men are not permitted.
  4. Sports wear on occasion may not be permitted in the restaurant area.
  5. Sport tops, shorts and footwear must be worn in the gymnasium at all times.
  6. The wearing of swimming costumes is restricted to the pool, spa and changing areas only.
  7. On occasion entry to events may be limited to the strict dress code i.e. Black Tie.

17.      OPENING & OPERATING HOURS
The Club premises will be open to members at such hours as the Proprietor / Company may notify on the Club notice board.
The permitted hours for the supply and comsumption of intoxicating liquor on the club premises to Members and their guest shall be the permitted hours of the Clubs approved licence.  Such hours shall be notified to members on request.
The Club facilities operating hours may not be the same as the Clubs opening hours. Such hours shall be notified to members on request.
Opening, operating and consumption hours may vary or permanently change from time to time.

18.       GENERAL    

  1. The Proprietor / Company reserves the right to refuse admission to any member or guest and to terminate or suspend the membership without assigning or giving reason for any such action or giving any explanation to such member.
  2. If any member fails to comply with the Rules of the Club or in the opinion of the Proprietor / Company conducts himself/herself either in or outside the Club bringing the Club into disrepute, the Proprietor / Company may in his absolute discretion caution, suspend or expel any such member without assigning a reason for any such action or giving any explanation to such member.
  3. The Proprietor / Company do not accept liability for loss or damage to property of a member or guest.  Although personal lockers are available no secure storage facilities are provided and accordingly the Proprietor / Company recommend that no property of value should be brought onto the Club premises and left unguarded.
  4. The Proprietor / Company reserve the right to ask any person who is judged to be causing a nuisance to leave the Club. Failure to do so will result in termination of membership.
  5. Dogs are not permitted on the premises at any time with the exception  of guide dogs.

 19.             ALTERATION TO THE RULES    
These rules are subject to alteration, deletion or addition by the Proprietor / Company without prior notice.

 20.            CLOSING OF THE CLUB                                                                                
The Proprietor / Company may at any time in his absolute discretion and without prior notice, close the Club premises or any of the facilities temporarily and may, by giving three months prior written notice affixed to the Club notice board dissolve and close down the Club.  In the event of such dissolution and closing down, the membership of all members shall be deemed terminated and they have no rights or claims against the Proprietor.

21.       INTERPRETATION OF RULES
The Proprietor / Company whose decision shall be final and binding on all members of the Club shall determine any dispute or differences which may arise in regard to interpretation of these rules.

22.       DOGS

Please note that dogs are not permitted on the premises at anytime with exception of guide dogs.
