Tennis Booking, Cancellations & Coaching

During the winter months, there is always high demand for indoor courts at peak playing times. When a member is unsuccessful in making a booking, we recommend they call or email reception and request to be put on a ‘waiting list’ for indoor courts; it is the club’s policy to first offer those on the waiting list any cancelled indoor courts and then those with an outdoor court booking. This aside, our outdoor courts are all-weather playing surfaces. It is also worth checking the booking system a day or so before your desired session, as courts do become re-available.
At the point courts are released at 20:00 six days in advance, a significant number of members may try to book indoor courts sessions. At release time, the booking system may be slower than usual, and you may find that courts which initially appeared available become booked during the booking process, we understand this is frustrating; we will be making further enhancements to improve the functionality and speed of the booking system alongside the development of a booking app. When logging in shortly after the release time at 20:00, 5-10mins past the hour, the functionally and speed of the system is generally very good. If by logging on at a slightly later time to the release, you are unable to secure your preferred court booking, as suggested above, please contact us to go on the waiting list.
Coaches / Coaching:
Coaches are provided a maximum of 5.7% of courts space for individuals and a further 13.9% for groups, leaving members 80% of all court space. There are strict coaching parameters in place to ensure maximum court availability for members. From member feedback, we have recently introduced a further coaching restriction: for the winter season, one to one coach will be limited to one indoor court at any one time. We will continue to closely monitor availability and make further adjustments if required.
Booked Courts Not Being Used:
We understand that it can be frustrating to see courts are not being utilised for part or whole sessions, despite the system appearing fully booked. In addition to members being required to swipe in on entry to confirm their attendance, we have recently introduced CCTV accessibility for our reception team to check indoor court bookings, ensuring the usage taking place is as booked. When members do not show for a booking or cancel within 24 hours of a booking, we follow up with these members by email, emphasising the need for early cancellation. Where repeated lack of use or late notice occurs, we block those members from booking courts for a period of time. We are very grateful when members notify that courts may have been booked and not used, and/or not used to a significant extent.
